Invoices in Indian rupees are GST tax invoices when India is set to Calculated by BillHive in Taxation Settings. Each one has an invoice number, the tax worked out per line, the supplier’s and customer’s GSTIN, the place of supply, and a CGST + SGST or IGST split. Order estimates show the same GST, so the amount a customer sees, the invoice, the payment request and dunning all agree.
GST applies to orders in INR only. An order in any other currency is not taxed and its invoice has no GST fields.
What You Set Up
| What | Where | Notes |
|---|---|---|
| The GST switch | Settings > Taxation > India · GST | Calculated by BillHive or Handled by you. See Taxation Settings. |
| Your GSTIN and state | Settings > Taxation or Settings > Payment > Business profile | The supplier side. Both places edit the same business profile. |
| Tax profiles (GST rate and HSN/SAC) | Settings > Taxation > Tax profiles | A rate is one of 0, 0.25, 3, 5, 12, 18 or 28. HSN/SAC is 4 to 8 digits. One profile is the default. |
| Includes or excludes tax, and the tax profile | Each INR rate plan, add-on and charge price | Decides how that price is taxed. |
| Customer GSTIN and state | The customer’s account | A GSTIN is 15 characters; its first two digits are the state code. Entering one fills the state. |
GST settings used to live under Preferences. They have moved to Settings > Taxation, and the old GST section of Preferences now only points you there.
Rate and HSN/SAC
Every charge on an order, whether the rate plan, an add-on or a one-off charge, is taxed by its own price. The price’s tax profile gives the GST rate and the HSN/SAC printed on the invoice line. A price with no profile uses the default profile. A rate of 0 is a real rate, not a missing one. Products no longer carry a GST rate or HSN/SAC of their own.
Exclusive and Inclusive Pricing
Whether a price includes GST is set on each price, not for the whole business. One order can therefore mix both kinds of line.
| Add tax on top (exclusive) | Price already includes tax (inclusive) | |
|---|---|---|
| Price of 2,656 at 18% | Taxable 2,656.00 + GST 478.08 = 3,134.08 | Taxable 2,250.85 + GST 405.15 = 2,656.00 |
| What the customer pays | Price plus GST | The price |
| Order total, payment request, invoice amount | Include the GST | Equal the price |
When an invoice has both kinds of line, it carries the note “Some prices include GST; the tax shown includes the GST contained in those prices.”
Everything is calculated in paise and each line is rounded once, so the lines always add up to the totals. When the GST on a line is an odd number of paise, CGST takes the lower half and SGST the rest.
When GST Is Not Handled
If India is set to Handled by you, invoices and credit notes are plain documents: no GSTIN, place of supply, HSN/SAC or tax lines. Invoices already issued keep their format.
CGST, SGST or IGST
The place of supply is the customer’s state, taken from the customer’s GSTIN (first two digits) and otherwise from the state on the account.
- Same state as the supplier: GST is split in two halves, CGST + SGST.
- A different state: the whole GST is IGST.
- If the customer’s state or the supplier’s is unknown, the supply is treated as intra-state (CGST + SGST), with the supplier’s state as the place of supply, and a warning is written to the log.
Invoice Number
Every invoice has a number INV/<financial year>/<sequence>, for example INV/2026-27/0001.
- The financial year runs from 1 April to 31 March, in Indian time.
- The sequence is separate for each tenant and starts again at
0001every 1 April. - GST allows at most 16 characters.
INV/2026-27/0001is 16, so after 9,999 invoices in a year the year is shortened (INV/26-27/10000) to keep the number within 16 characters. - The number is assigned when the invoice is issued: when it is created as Posted, which is how every invoice is created today, or if an invoice ever starts as a Draft, when it moves to Posted. It is allocated by one atomic counter, so two invoices created at the same moment never share a number, and a number is never changed or reused. If an invoice cannot be saved after its number was taken, that number is skipped.
- The number is on the PDF and in the invoice list and details in the portal.
What an Invoice Records
On the invoice: invoiceNumber, taxableAmount, taxAmount, cgstAmount, sgstAmount, igstAmount, placeOfSupply (for example 29-Karnataka), supplyType (INTRA_STATE or INTER_STATE), supplierGstin, customerGstin and gstPricing (Exclusive, Inclusive, or Mixed when the invoice’s lines differ; each line also records its own). amount is the total payable.
On each line: taxableAmount, taxRate, cgstAmount, sgstAmount, igstAmount, hsnSacCode, and taxAmount (the line’s total tax).
Discounts reduce the value that is taxed. A discount on a line is taken off that line; an invoice-level discount is spread over the lines in proportion to their amounts before GST is worked out.
Where GST Applies
The same calculation is used for new subscriptions, add-ons, plan and frequency changes, the early-termination fee on a cancellation, renewals and trial activations. Renewal and trial-activation orders are created ahead of time, so their GST is worked out again when the order is processed, using the price’s tax profile, its includes-or-excludes setting and the customer state of that day. Renewals, plan changes and cancellation fees use the subscription’s plan price.
Invoices entered by hand keep the tax percentage the user entered, and print the default profile’s HSN/SAC. They are numbered and get the GSTINs, place of supply and a CGST/SGST or IGST split of the tax that was entered; no amount is changed.
Credits
When a line’s price added GST on top, the credit for the unused part of the term carries that GST too, so the customer gets back what they paid. For a 2,656 plan with GST on top, cancelling with the whole term unused credits 3,134.08. The credit note then splits it into 2,656.00 taxable + 478.08 GST.
The Tax Invoice PDF
The invoice PDF is a Tax Invoice: invoice number and date, supplier and customer GSTIN, place of supply, a table with HSN/SAC, taxable value, rate and CGST/SGST (or IGST) per line, the GST summary, the total, and the amount in words (INR).
- A tenant that has its own Invoice template keeps it exactly as it is. It is given the new data to print: the invoice number in place of the ID, the GSTINs, the state code, the tax summary (
invoice.taxBreakdown) and the amount in words (invoice.amountInWords), and each line’s HSN/SAC, taxable value and rate. - A tenant with no Invoice template gets the built-in GST tax invoice.
- An invoice issued before GST invoicing prints as a plain Invoice, never as a Tax Invoice.
Invoices Created Before This Feature
Existing invoices keep empty GST fields. Nothing is backfilled: they have no invoice number, no tax split and no GSTIN, and their amounts do not change. Credit notes against them show a tax of zero, as before.
